No, and this is non-negotiable. CLOZR never negotiates your management fees, leasing fees, or any other pricing. Your CLOZR quotes your standard pricing exactly as defined during the Calibration. If an owner asks for a discount or exception, that is escalated immediately to you or your designated decision-maker. We don't have authority to change what you charge.
No. CLOZR does not sign any agreements, contracts, or documents on behalf of your company. We do not have signatory authority and we never will. Our role is to move leads from inquiry to a signed agreement — but the actual signing is always done by you or an authorized representative of your company.
It gets escalated — immediately and cleanly. During your Calibration, we define exactly what gets escalated, to whom, and how quickly. Examples: a request to manage a property type you don't handle, a price exception ask, a contract question beyond your approved FAQ, or an unusual situation that doesn't fit your standard criteria. Your CLOZR never wings it — they escalate and document.
No. CLOZR is not a licensed real estate brokerage and our closers are not licensed agents. CLOZR closers operate as sales coordinators under the supervision and within the guardrails of your Broker of Record. They discuss your services, answer questions about your process, and facilitate the appointment — but they do not provide legal or brokerage advice. State-specific requirements around what a non-licensed person can discuss should be reviewed with your broker before engagement.
Our target response time for first contact is within 5 minutes during business hours. In practice, most responses happen in under 3 minutes. We prioritize phone first, then text, then email — because voice establishes rapport faster than any other channel. Speed-to-lead is the single biggest variable in inbound conversion, and our entire model is built around it.
On the Launch plan, after-hours leads are captured in the CRM and contacted at the next available opportunity during business hours, typically within 30 minutes of coverage resuming. On the Scale plan, extended coverage is available for evenings and weekends. All after-hours inquiries receive an automated acknowledgment so the owner knows they've been received — no one feels ignored.
CLOZR handles all inbound channels you define during Calibration: web forms, direct email inquiries, phone calls routed through your main line, referrals introduced via email, and leads from any platform that routes to your inbox or CRM. We do not handle outbound or cold lead generation. If there's a specific source you use, we'll discuss routing during setup.
We prefer to work in your existing CRM if you have one — we'll configure and run your pipeline within it. If you don't have a CRM, we'll recommend and set up a lightweight option during the Calibration phase. Either way, you have full visibility and ownership of your pipeline at all times. The CRM data belongs to you.
No. CLOZR is built exclusively for inbound lead management. We do not cold call, cold email, prospect from lists, or pursue any outbound lead generation. Our entire model is built around maximizing the conversion of leads that are already coming to you. If you need outbound prospecting, that's a different service — and we'll tell you upfront.
We run a structured, multi-touch follow-up sequence that typically spans 14–21 days for active leads. It includes phone calls, texts, and emails at defined intervals with value-add messaging — not just "checking in." Every touch is logged. Every response is recorded. Leads that don't convert within the active sequence move to a long-term nurture track with quarterly check-ins.
Your CLOZR is trained on your company's positioning, voice, and messaging during the Calibration. They introduce themselves as part of your team, not as CLOZR. From the owner's perspective, they're talking to your company's sales representative — which is exactly what they are. We align to your brand, not ours.
Not permanently — it's the bridge before you need one. CLOZR is designed for PM companies that aren't yet at the volume or margin to justify a $60K–$90K+ full-time hire with a 3–6 month ramp period. We deliver sales execution now. We also build the playbook, CRM, and pipeline infrastructure so that when you are ready to hire a full-time BDM, they walk into a working system on day one instead of starting from scratch.
Yes. Some clients use CLOZR as overflow coverage for a part-time BDM, or to handle lead response while the BDM focuses on relationship development and referral partners. We're flexible about how we fit into your structure — as long as the guardrails are clear and the pipeline is shared.
You can — and if you have someone with the bandwidth, skills, and process discipline, that's a great option. The reality for most PM owners is that their existing staff are great operators, not closers. Training someone to handle inbound sales while also managing properties usually results in both things being done poorly. CLOZR gives you dedicated closing capacity without pulling your team off the work they're already great at.
CLOZR uses a monthly retainer plus a per-door performance fee model. The retainer covers the operational cost of the service — onboarding, CRM setup, coverage, and reporting. The per-door performance fee aligns our incentives with your results: we earn more when you close more. Exact pricing is discussed during your Calibration call and is customized based on your lead volume, coverage needs, and growth goals.
A closed door is defined as a new property brought under management via a signed management agreement that originated from a CLOZR-handled inbound lead. The specifics of what qualifies — minimum contract length, property type, etc. — are defined during your Calibration so there's no ambiguity. We document every closed deal in the CRM so the attribution is clear.
No. CLOZR does not lock you into long-term contracts. We operate on a month-to-month basis after an initial setup period. We'd rather keep your business by delivering results than hold you hostage with a contract. That said, the Calibration process takes real time and investment, so we do ask for a reasonable initial commitment to allow the system to get running.
CLOZR is designed for property management companies with roughly 100–400 doors under management, though we've worked with companies slightly outside that range. The key is that you're getting meaningful inbound lead flow and converting below your potential. If you're at 50 doors but getting 15+ inbound inquiries a month, CLOZR might still make sense. The best way to find out is a Calibration call.
No — that's actually the norm. Most CLOZR clients are starting without a formal CRM or documented sales process. Part of what we do during the Calibration phase is build those things. You don't need to come in with infrastructure; you need to come in with your pricing, your contracts, and a willingness to define your guardrails.
Low lead volume can still produce meaningful results if the conversion rate improves dramatically. However, CLOZR works best when there's a consistent flow of inbound leads to work. If you're generating fewer than 5–8 inbound inquiries per month, we may discuss whether other investments (SEO, reviews, referral programs) should come first. We'll tell you honestly if CLOZR isn't the right move yet.
You'll see it in the numbers. Weekly pipeline reports give you leads worked, contacts made, consults booked, and doors closed. You'll see response rate, lead-to-consult conversion, and consult-to-close rate — and how those trend over time. We also do a monthly strategy call (on Scale plan) to review performance and adjust the playbook as needed.
